We are looking for a qualified Payroll Officer to join our HR Team. As a Payroll Officer you will be responsible for the smooth running of the company salaries for all employees. The Payroll Officer will perform administrative payroll duties, calculating employee salaries, overtimes, incentives etc. and collecting daily, weekly and monthly clocking reports, updating our internal payroll database and ensuring timely payments.
REQUIREMENTS & SKILLS:
*AAT
*3-5 Years of proven experience as an HR/Payroll Officer or a similar role
*Proficiency in VIP Payroll Software will be an added advantage
*Ability to handle confidentiality
*Thorough attention to detail and Strong Math Skills with the ability to spot numerical errors
*Ability to work independently and can work well under pressure
Time Management Skills
KEY RESPONSIBILITIES:
*Payroll Processing: Calculating and processing payroll, wages, taxes, deductions and benefits.
*Data Entry: Accurately entering employee information including, reconciliation of time and attendance, deductions and benefits
using VIP Software.
*Coordinate and manage administrative functions of the FloTek
payroll including employee’s salaries, overtimes and allowances,
*Severance and Gratuity, Medical Aid payments.
*Administering and monthly records of third-party payroll matters.
*Employee Enquiry: Handle day to day payroll queries regarding
payroll and benefits to employees/management.
*Collect daily, weekly, or monthly clocking/attendance reports.
*Update sick leaves and annual leaves weekly on Payroll Software
(VIP) in collaboration with HR Department.
*Check and review payroll reconciliations against ledger as directed by Finance Manager.
*File monthly payroll records.
*Print and prepare monthly reports as directed by Group HR Manager.
*File and maintain monthly payroll records.
*Assist in preparing for internal and external audits by providing necessary payroll documentation and reports
*Keep updated with any changes regarding payroll parameters, tax and labour legislation.

JOB DESCRIPTION:
We are seeking dedicated HR Officers to join the HR Team and support various human resources/ payroll functions. The ideal candidate will ensure all related HR/Payroll functions are done in accordance with company policies.
REQUIREMENTS & SKILLS
*Degree/Diploma in Human Resource Management
*3-5 Years of proven experience as an HR Officer or a similar role
*Knowledge on preparing and processing payroll using VIP Software
*Knowledge in Botswana Labour Laws

KEY RESPONSIBILITIES
*Manage and oversee HR-related activities within the factories.
*Manages effective onboarding process of new employees.
*Coordination with different departments to ensure smooth HR operations.
*Input and maintenance of human resource data in the HR Database and Payroll Software (VIP).
*Assisting with arrangements of disciplinary hearings and taking minutes of proceedings before preparing reports of hearings.
*Maintaining and updating employee records (Soft and Hard Copies).
*Draft and issue letters, Contract of Employment, Reports and other documents as they arise.
*Address HR inquiries amongst staff and assist with Policy Enforcement.
*Notify staff when they are eligible to join Group Funeral and Life Assurance Scheme.
*Update and maintain sick and annual leaves on HR Leave
*Spreadsheet and Payroll Software (VIP).
*Ensure compliance with Labour Laws and Company Policies.
*Maintain payroll processing system and records
*Prepare Gratuity and Final Settlements and handle related queries from employees directly.
*Address issues and questions regarding payroll from employees and managers.
*Process staff personal loans and update staff accounts.
*Ensure accuracy, completeness and timely provision of the monthly payroll
